Terms of service
Terms of service
These terms are between you (the trades business that buys the service) and Northbound Tech Ltd. Call Cover is the product. Version 2026-09-17, in force from 17 September 2026.
1. These terms
These terms are between you (the trades business that buys the service) and us (Northbound Tech Ltd, company number 17432444). Call Cover is a product of Northbound Tech Ltd.
If you use the service, you agree to these terms. If you cannot agree, do not forward your line and do not connect your calendar.
The privacy policy says what we do with personal data. It is part of how we run the service. The security page says how we hold it.
2. Accepting these terms
You accept these terms when you first do any of the following, whichever comes first: complete sign-up, pay us, use your account, or forward your line to the number we provision.
The version that binds you is the one published at this address on the day you did it. Every version carries its version line at the top of this page. Changes are made the way the Changes clause below describes, and not otherwise.
3. What you are buying
Call Cover is an AI phone receptionist. You keep your existing number and your existing carrier. You forward calls to a number we provision. We do not port your number.
On a connected call we:
- Answer with your greeting, then tell the caller the call is recorded.
- Quote from your price book. We do not invent a price.
- Book a job into a slot we believe is free, if you have given us a calendar we can write.
- Take a name and number if we cannot book.
- Forward to your cell when we cannot continue.
You get an account page for your hours, prices, service area and what the agent says. You do not get a website or an app, and your bookings appear in the calendar you already use. You talk to us when something needs a human.
What each plan costs, what it includes, and what a minute over the allowance costs are on the pricing page. Those figures can change for new customers. They are not a quote until they are on an invoice.
Capacity. Each plan has a ceiling on how many callers we will talk to at once: 3 on Starter, 6 on Growth, 10 on Scale. A caller who rings while you are already at your ceiling is not answered by us: they get whatever their phone company does with a busy line, and we tell you it happened. If instead every line we hold is in use, the caller waits on your brand for 30 seconds (unless we have set a different wait for you) and is then forwarded to your cell, and then asked for a number.
4. What this is not
The agent is software. It is not a person. It will get things wrong.
It can mishear a name, a street, or a number. It can offer a slot you cannot reach in time, unless you have asked us to treat an unmarked gap in your calendar as unavailable. It can fail in the middle of a call. If it never answers, the caller is where they would have been had the line not been forwarded. If it answers and then fails, the caller hears silence. We will try to forward. We do not promise we always can.
You remain the tradesperson. You remain responsible for the work, for the quote you honor, and for the caller as your customer.
5. Your job
- Keep the price book, hours, service area and technicians true. We will speak what you stored.
- Forward the line the way we describe, or the agent will not ring.
- Connect Google Calendar if you want bookings in that calendar, and leave the connection alive. A dead connection looks, to a caller, like a fully booked day.
- Do not ask us to hide that the call is recorded.
- Do not use the service to take card numbers on the line. We are not a payment-card recorder. If a caller reads one out, tell us.
- Pay on time.
6. Acceptable use
You may not use the service, or let anyone else use it, to:
- break the law, or help anyone else break it;
- make or assist robocalls, bulk or automated outbound calling, or any calling or messaging that breaches the Telephone Consumer Protection Act, the CAN-SPAM Act, the Privacy and Electronic Communications Regulations, or their equivalents wherever you operate;
- harass, threaten, abuse, defame or stalk anyone, on a call or off it;
- commit fraud, or obtain money, goods or information by deception;
- impersonate another business or another person, or hold the agent out as a human being;
- handle adult or sexual content, or content that attacks or demeans people for who they are;
- scrape, crawl or harvest the service by automated means, or reverse-engineer any part of it;
- resell the service, probe it to reach another tenant’s data, or send traffic that is not a real caller asking about your work.
If you do any of these we can suspend the service or stop it, as the “Starting and stopping” clause says. We do not have to warn you first.
7. Recording
Every answered call is told: “This call is recorded.”
We keep a written transcript, not an audio file. The greeting is broader than what we store. We still say it, on every call, because recording laws in some US states and good practice in the UK do not wait for us to guess where the caller is standing.
The caller is your customer. You must be willing to have that sentence spoken as you. If you cannot, do not buy this.
How long we keep the words, and what a caller can ask us to delete, is in the privacy policy.
8. Google Calendar
If you connect Google Calendar, you grant us permission to read events and to create, change and delete events on calendars you own, and to list your calendars.
We use that only to see when you are busy, to write the jobs we booked, and to notice when the grant has died. We do not use it for ads. We do not sell it. We do not use it to train models.
The use of information received from Google Workspace scopes will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Google API Services User Data Policy: https://developers.google.com/terms/api-services-user-data-policy
Limited Use requirements: https://developers.google.com/terms/api-services-user-data-policy#additional_requirements_for_specific_api_scopes
You can revoke access in Google. We then stop. Events already in your calendar stay yours.
9. Who owns what
The recordings, transcripts, leads and appointments the service produces from your calls are yours. So are your price book, your hours, your service area and your customer list. We do not claim ownership of any of it, and we do not sell it.
So that we can actually run the service, you give us a license to hold, copy, process and transmit that material (including passing it to the categories of provider named below, who carry the call) for as long as we are running the service for you. The license is limited to running the service for you and to what these terms and the privacy policy say we do. It is not exclusive, we charge nothing for it, and it ends when the material is deleted.
What we keep after that. Deleting your data does not delete our billing records, the record of key access, the periods for which a number was assigned to you, a minimised record that you were a tenant, or the record of the deletion itself. We also keep what a live dispute or the law requires us to keep, for as long as it requires it. The privacy policy sets the same list out in full, and it survives the license ending.
10. We do not train on your data
We do not use your calls, your transcripts, your leads, your price book or your customers to create, train or improve a model of ours. We do not sell that material, and we do not license it to anyone so that they can train on it.
That is a statement about what we do with it. What each category of recipient sees, and what they see it for, is in the privacy policy.
There is no setting for this and no plan it varies by. It is not something we do.
11. Fees, payment and refunds
Our payment provider collects the subscription. There is no setup fee.
Subscription. Billed monthly or annually at the plan you chose. On a monthly plan, unused minutes do not carry. On an annual plan, unused minutes pool inside the year and lapse at the term. Overage is billed at the plan rate.
Refunds. Fees are non-refundable. We do not refund or credit part of a month or part of a year, whether you stop, change plan, are suspended, or simply do not use the minutes you bought. Stopping ends the billing; it does not return what has been billed.
Failed payment. We can suspend the service. Suspended is not deleted. Your data stays until you are offboarded and, if you ask, deleted.
A chargeback is not a refund we issued. We record it as a reversal, and we may suspend the service.
Taxes are extra where they apply.
12. Starting and stopping
You start when we take you live: number forwarding, agent answering as you.
You can stop. We offboard you: the agent stops answering as you, the number is released. Offboarding is not deletion. Your call records stay until you ask us to erase them and we run that job. We keep a thin record that you were a tenant, because the number will be given to someone else and a dispute can still arrive.
We can suspend or stop you if you do not pay, if you break the acceptable-use clause above, or if the law, a court, a regulator or a provider we depend on requires us to.
Export: ask us, and we will produce an archive of your data.
13. Other people’s data
Callers did not sign these terms. You must have a lawful reason to have us answer them, record a transcript, store their number, and book a job.
14. Limitation of liability
We will run the service with reasonable care. We do not promise it is available at every second. We do not promise every quote, every booking, or every transcription is right.
What we are not liable for. We are not liable for loss of profit, loss of business, loss of contracts, loss of goodwill, loss of anticipated savings, or for any indirect or consequential loss, however it arises.
The cap. For everything else, our total liability to you for all claims arising out of or in connection with these terms is limited to the greater of: the fees you paid us in the six months before the event that gave rise to the claim, and $100.
Nothing in this clause limits liability for death or personal injury caused by negligence, or for fraud, or for anything else the law does not allow us to limit. The cap does not apply to those.
You indemnify us for claims that come from your price book being wrong, your work, or your handling of a caller, except to the extent we caused the harm by failing to do what these terms actually require.
15. Third-party providers
The live path uses telephony, speech and language, hosting and database, payment and email delivery providers. Google Calendar and Slack if you connect them. We are not responsible for their outages. We will try to forward a call we cannot handle.
We choose the providers behind the service, and we can change them. The service must still do what these terms say. What each kind of recipient sees is set out in the privacy policy.
16. Changes
We can change these terms. We will post the new version at this URL, with a new version line, and we will email material changes to the address we hold for you. Continuing to use the service after a posted change is acceptance. If you do not accept, stop and ask us to offboard you.
17. Governing law and jurisdiction
These terms are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction.
